Terms & Conditions

Outdoorly Adventures Ltd (trading as Outdoorly) Registered in England and Wales | Company number: 16387287

These Terms & Conditions apply to all hikes, walks, activities, events and trips organised by Outdoorly Adventures Ltd ("Outdoorly", "we", "us" or "our"), and to bookings made through the Outdoorly website.

By making a booking or participating in an Outdoorly event, you confirm that you have read, understood and agreed to these Terms & Conditions.

Additional terms may apply to individual events or trips. Where specific terms are stated on the relevant event or trip page, those terms form part of your booking. If there is any conflict between these Terms & Conditions and specific event or trip terms, the specific event or trip terms will apply to that booking.

1. Our Events

Outdoorly organises guided hikes, walks, outdoor activities and adventure trips in the UK and internationally.

All Outdoorly events are for adults aged 18 or over.

Outdoorly does not provide or sell flights. All Outdoorly events and trips are flight-excluded.

Where air travel is required, participants are responsible for arranging and paying for their own flights and ensuring that their travel arrangements allow them to arrive at the required destination or meeting point on time.

2. Event Information

We make reasonable efforts to ensure that information published on our website and event pages is accurate and up to date.

Event and trip details may occasionally change. This may include routes, timings, meeting points, transport arrangements, accommodation, activities or itineraries.

Changes may be necessary because of weather, safety concerns, access restrictions, transport disruption, supplier issues, minimum group size requirements or other circumstances beyond our reasonable control.

Where practical, we will communicate significant changes to participants as soon as reasonably possible.

Participants should check the relevant event or trip page before booking for the latest information, including:

● date and meeting point; ● start and finish times; ● route, distance and difficulty; ● transport arrangements; ● accommodation, where applicable; ● what is included and excluded; and ● event-specific cancellation terms.

3. Bookings & Payments

A booking is confirmed once the required payment has been received and the booking has been confirmed by Outdoorly.

Places may be limited and may be allocated on a first-come, first-served basis.

The price, inclusions and exclusions for each event or trip will be stated on the relevant event page.

Where a deposit or staged payment option is offered, the applicable payment schedule and final payment deadline will be stated on the relevant event or trip page.

If a required balance is not paid by the stated deadline, Outdoorly may cancel the booking and any applicable deposit may be non-refundable.

Payment Processing

Payments made through our website are processed securely by Stripe.

Outdoorly does not collect or store your full payment card number or card security code.

Stripe processes payment information in accordance with its own terms and privacy policy.

4. Participant Responsibilities

Participants are responsible for deciding whether an event is suitable for their own fitness, experience and abilities.

Participants must:

● arrive at the designated meeting point on time; ● wear suitable clothing and footwear; ● bring any equipment specified for the event; ● bring sufficient food and water where required; ● follow reasonable instructions given by Outdoorly and its hike or trip leaders; ● remain with the group where instructed; ● behave responsibly towards other participants, members of the public, wildlife and the environment; and ● take reasonable care of their own safety and belongings.

Participants must not undertake an activity beyond their abilities where doing so could place themselves or others at risk.

Littering is not permitted. Participants must take their rubbish with them and dispose of it appropriately.

5. Fitness & Suitability

Information about route distance, terrain, elevation and difficulty will be provided on the relevant event or trip page where applicable.

Participants are responsible for deciding whether an event is suitable for their own fitness, experience and abilities.

Outdoorly does not provide medical, health, fitness or training advice.

If you are unsure whether an activity is suitable for you, you should seek advice from an appropriately qualified professional before participating.

Participants are responsible for bringing any medication, personal equipment or other items they may require during an event.

6. Safety & Conduct

Outdoor activities carry inherent risks, including slips, trips, falls, difficult terrain, adverse weather, illness, injury and other hazards.

Participants must follow reasonable safety instructions given by Outdoorly, its organisers and activity leaders.

Outdoorly may refuse participation or require a participant to leave an activity or trip, without refund, where they:

● behave dangerously; ● refuse to follow reasonable organiser or leader instructions; ● harass, threaten or intimidate another person; ● are under the influence of drugs or excessive alcohol; ● create an unacceptable risk to themselves or others; or ● otherwise behave in a way that may compromise the safety or enjoyment of the group.

Any decision made by Outdoorly on reasonable safety grounds will be made with the wellbeing of the participant and wider group in mind.

7. Pets

Pets are not permitted on Outdoorly group hikes, walks or trips unless expressly approved by Outdoorly in advance.

Some routes, accommodation and other locations may prohibit pets. In addition, some participants may have allergies or other sensitivities to animals.

For these reasons, pets will generally not be permitted even where a particular route or location allows them.

8. Equipment & Personal Belongings

Participants are responsible for bringing suitable clothing, footwear and equipment for the activity.

Where specific equipment is required, this will be stated on the relevant event or trip page.

Participants are responsible for their own personal belongings.

Outdoorly cannot accept responsibility for personal belongings that are lost, damaged or stolen, except where liability cannot legally be excluded or limited.

9. Cancellations, Refunds & Transfers

9.1 UK Day Hikes

Bookings for Outdoorly UK day hikes are non-refundable and non-transferable.

If you can no longer attend a day hike, your booking cannot normally be refunded, exchanged for another event or transferred to another person.

Please check your availability carefully before booking.

Where Outdoorly is legally required to provide a refund, the applicable legal requirements will apply.

9.2 International Trips

Cancellation, refund and transfer terms for international trips are specific to each event and will be clearly stated on the relevant trip or event page before booking.

By making a booking, you agree to the cancellation and refund terms applicable to that particular trip.

Where Outdoorly cancels or reschedules an international trip, any refund or alternative arrangement available to participants will be communicated in accordance with the applicable booking terms and the circumstances of the cancellation.

Outdoorly cannot normally refund costs that have not been paid directly to Outdoorly, including independently arranged flights, accommodation, transport or other travel arrangements.

10. Changes or Cancellation by Outdoorly

Outdoorly may need to cancel, postpone or modify an event or trip because of circumstances including:

● extreme or unsafe weather; ● safety concerns; ● transport disruption; ● access restrictions; ● supplier issues; ● minimum group size requirements; or ● other circumstances beyond our reasonable control.

Changes may include the route, timings, meeting point, accommodation, transport, activities, itinerary or trip leader.

Where practical, participants will be informed of significant changes as soon as reasonably possible.

Where Outdoorly cancels an event or trip, any refund or alternative arrangement will be communicated to affected participants in accordance with the applicable booking terms and the circumstances of the cancellation.

11. UK Day Hikes

These provisions apply specifically to Outdoorly UK day hikes and walks.

Participants must:

● arrive at the designated meeting point on time; ● be suitably prepared for the weather and terrain; ● follow the designated route and the leader's reasonable instructions; and ● remain with the group where instructed.

For hikes involving organised transport, participants are expected to remain with the group for the organised part of the event.

Leaving the group early or making independent travel arrangements during the organised part of an event is not permitted unless agreed with the hike leader.

Participants are responsible for arriving at the meeting or departure point on time.

If a participant arrives late and misses the group or organised transport, Outdoorly is not responsible for the consequences and no refund will normally be provided.

Public transport services, including trains, buses and other third-party services, are outside Outdoorly's control. Timetables, fares and services may change.

12. International Trips

These provisions apply specifically to Outdoorly international and European hiking trips.

All Outdoorly international trips are flight-excluded.

Outdoorly does not provide or sell flights. Participants are responsible for arranging and paying for their own flights and ensuring that their travel arrangements allow them to arrive at the required destination or meeting point on time.

Outdoorly strongly recommends that participants consider the risks of booking non-refundable flights before the trip has been formally confirmed by Outdoorly.

Outdoorly cannot accept responsibility for independently booked flights or other travel arrangements that are affected by changes, delays, cancellation or disruption to an Outdoorly trip.

13. Passports, Visas & Travel Documents

Participants are solely responsible for checking and obtaining all passports, visas, permits and other travel documents required for their trip.

Outdoorly does not provide visa, immigration or travel-document advice.

Participants are responsible for ensuring that their passport and any required visa or other documentation is valid for all destinations included in their trip.

Where entry to a country or access to any part of a trip is refused because a participant does not have the required or valid documentation, Outdoorly will not be responsible for resulting costs, losses or unused travel arrangements, except where liability cannot legally be excluded or limited.

Outdoorly does not collect or store participants' passport information.

Participants are responsible for carrying their own passports and travel documents throughout their trip.

14. Travel Insurance

Comprehensive travel insurance is compulsory for all Outdoorly international trips.

Participants are responsible for arranging suitable travel insurance before travelling and ensuring that the policy provides appropriate cover for the activities and destinations included in their trip.

Outdoorly does not provide insurance advice.

Participants should check their policy carefully, including cover for medical expenses, cancellation, travel disruption, personal belongings and activities undertaken during the trip.

For travel within the EU/EEA, eligible participants may also wish to obtain a GHIC before departure. A GHIC is not a substitute for travel insurance.

15. Minimum Group Size

Where a minimum group size applies, this will be stated on the relevant event or trip page.

Outdoorly reserves the right to cancel or reschedule a trip if the required minimum group size is not reached.

Where this occurs, Outdoorly will communicate the available refund or alternative arrangements to affected participants in accordance with the applicable booking terms.

Participants should consider this before making non-refundable travel arrangements.

16. Accommodation, Transport & Third-Party Services

Where accommodation, transport or other services are included in an event or trip, the inclusions will be stated on the relevant event or trip page.

Room Sharing

Where accommodation is arranged by Outdoorly and twin or shared rooms are included, participants should expect to share a room with another participant of the same gender, unless otherwise agreed with Outdoorly.

Where a single room is booked or provided, the room will be for the individual participant only and gender is irrelevant.

Room-sharing arrangements are subject to the accommodation available for the particular trip and any terms stated on the relevant trip page.

Third-Party Services

Accommodation, transport and other services may be provided by independent third-party suppliers and may be subject to their own terms and conditions.

Outdoorly is not responsible for circumstances outside our reasonable control affecting third-party services.

Where participants independently arrange flights, accommodation, transport or other services, the contract for those services is between the participant and the relevant provider.

Outdoorly does not accept responsibility for costs arising from independently booked travel arrangements, except where liability cannot legally be excluded or limited.

17. Car Sharing & Private Transport

Any car-sharing, lift-sharing or private transport arrangements between participants are private arrangements and are not provided by Outdoorly.

Drivers are responsible for ensuring that they hold the appropriate driving licence, insurance and other legally required documentation.

Outdoorly accepts no responsibility for private transport arrangements made between participants.

18. Emergency Assistance

If a participant becomes unwell, injured or otherwise unable to continue an activity, Outdoorly and its leaders may take reasonable steps to protect the participant and the wider group.

This may include contacting emergency services or recommending or arranging appropriate assistance where reasonably necessary.

Participants are responsible for any personal costs arising from their circumstances where such costs are not covered by Outdoorly or an applicable insurance policy.

For international trips, participants must ensure that their travel insurance provides appropriate emergency medical and evacuation cover.

19. Guests

If you bring a guest to an Outdoorly activity or trip where guests are permitted, you are responsible for ensuring that your guest:

● is aware of the relevant event information and these Terms & Conditions; ● meets the participation requirements; and ● follows Outdoorly's safety and conduct requirements.

20. Photography & Video

Photography and video may be taken during Outdoorly activities for promotional, social media and marketing purposes.

Where appropriate, photographs or videos containing participants may be used on our website, social media channels or other promotional materials.

If you do not wish to appear in identifiable promotional photography or video, please inform the event organiser.

Where specific consent is required by law, Outdoorly will obtain that consent in the appropriate manner.

21. Liability

Participants acknowledge that hiking, walking and outdoor adventure activities carry inherent risks, including slips, trips, falls, difficult terrain, adverse weather, illness, injury and other hazards.

Participants take part voluntarily and are responsible for taking reasonable care of their own safety.

To the extent permitted by law, Outdoorly Adventures Ltd, its organisers and activity leaders will not be liable for loss, damage, injury or other consequences arising from participation in an activity, except where such liability cannot legally be excluded or limited.

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.

22. Complaints

We want everyone to have a positive experience with Outdoorly.

If you have a complaint about an event or trip, please contact us as soon as reasonably possible and provide details of the issue, including the relevant event date and booking information.

Where an issue occurs during an event or trip, participants should raise it with the event or trip leader as soon as reasonably possible so that we have an opportunity to address it at the time.

We will review complaints and aim to respond within a reasonable period.

23. Privacy & Cookies

Outdoorly collects and uses personal information in accordance with our [Privacy Policy].

Our Privacy Policy explains what personal information we collect, how we use it, who we may share it with and how long we retain it.

Our website also has a separate [Cookie Policy] explaining the use of cookies and similar technologies.

24. Changes to These Terms

Outdoorly may update or amend these Terms & Conditions from time to time.

The latest version published on the Outdoorly website will apply to future bookings and participation, unless otherwise required by law.

Where a change materially affects an existing booking, we will communicate with affected participants where reasonably necessary.

25. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Subject to any mandatory consumer rights, the courts of England and Wales shall have jurisdiction in relation to these Terms & Conditions and any dispute arising from them.
