  • from Outdoorly London booking systems where you securely connect an eligible booking;

  • from technical service providers involved in operating the App.

Where booking information comes from an Outdoorly booking system, the App uses it on a read-only basis.

4. Why we use your information

We may use personal information to:

  • create and secure your account;
  • authenticate you through Outdoorly ID;
  • provide your profile;
  • connect eligible Outdoorly bookings to the App;
  • show relevant upcoming experiences;
  • provide event-day information;
  • verify attendance;

  • provide Saved functionality;
  • operate event communities;

5. Legal bases

Depending on the processing involved, we rely on one or more of the following UK data-protection bases:

  • Contract — where processing is necessary to provide App functionality you have requested under the Outdoorly App Terms.
  • Legitimate interests — where necessary for the secure, reliable and appropriate operation of the App, including security, abuse prevention, Community moderation and maintaining accurate operational records, where those interests are not overridden by your rights.
  • Legal obligation — where information must be used or retained to meet a legal requirement.
  • Consent — where the law requires consent or where we specifically ask you to make an optional choice based on consent.

We do not treat acceptance of this Privacy Notice as consent to all processing.

6. Booking data and separation of services

Outdoorly Adventures and Outdoorly London booking systems remain operationally separate from the Outdoorly App.

The App may receive limited information required for App functionality.

The App does not write changes back to those booking systems.

Deleting or changing information in the App does not automatically change an existing booking.

7. Community visibility

Community content is not intended to be globally public.

Access to an event community is limited according to the App’s eligibility rules.

Other eligible Community members may see information associated with content you intentionally contribute, such as your profile identity, event photo or reaction where necessary for the Community feature.

Blocking and moderation controls may further restrict access.

8. Who we share information with

We may provide information to service providers that help us operate the App, including providers of:

  • authentication and database infrastructure;
  • cloud hosting;
  • App development and deployment infrastructure;
  • secure device storage and platform services;
  • push-notification delivery;
  • email or operational communications where applicable;
  • security and technical support.

This currently includes infrastructure used through services such as Supabase, Expo and the relevant Apple or Google mobile platform services, where required for the functionality concerned.

Service providers may only use information as permitted for providing their services to us and subject to their applicable contractual and legal obligations.

We may also disclose information where required by law or where reasonably necessary to protect people, Outdoorly or our legal rights.

We do not sell personal information to advertisers.

9. International processing

Some technology providers may process information outside the United Kingdom.

Where UK data-protection law requires safeguards for an international transfer, we will use an appropriate legal mechanism or ensure an applicable adequacy arrangement is available.

10. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it is used, including legal, security and operational requirements.

Different information may require different retention periods.

For example:

  • current account and profile data may be retained while your App account remains active;
  • Passport records may remain while you retain your App account;
  • security and audit information may be retained for an appropriate period after the relevant activity;
  • reports and moderation records may be retained where needed to manage safety, disputes or repeated misuse;
  • legal-acceptance records may be retained where reasonably necessary to demonstrate which Terms applied.

We will review retention periods as the App develops.

11. Account deletion

The App provides a process for deleting your Outdoorly App account.

Deleting the App account is designed to remove App-owned account data associated with that account, subject to information that must legitimately be retained for legal, security or dispute purposes.

Account deletion does not automatically delete separate booking-system records or cancel bookings.

Those systems have their own retention requirements and terms.

12. Notifications

Push notifications are optional.

You can control supported notification categories in the App and can also manage notification permission through your device operating system.

Outdoorly may store a push token and App installation identifier so notifications can be delivered to the correct installation.

13. Security

We use technical and organisational measures intended to protect App information.

These include authentication controls, role-based administration, restricted database access, protected server functions and appropriate device storage for sensitive session information.

No internet-connected system can guarantee absolute security.

14. Your rights

Depending on the circumstances, UK data-protection law may give you rights including:

  • access to your personal data;
  • correction of inaccurate data;
  • deletion of data;
  • restriction of processing;
  • objection to certain processing;
  • data portability where applicable; and
  • withdrawal of consent where processing is based on consent.

Some rights are subject to legal conditions and exemptions.

To exercise a right, contact info@outdoorly.co.uk.

You also have the right to complain to the UK Information Commissioner’s Office.

15. Children

The Outdoorly App is not designed as a children’s service.

If the intended age rules for Outdoorly services change, we will review the privacy and account controls before enabling the relevant use.

16. Automated decision-making

Outdoorly does not currently use the App to make solely automated decisions producing legal or similarly significant effects about members.

17. Changes to this Privacy Notice

We may update this Notice when the App, our processing or applicable law changes.

The App will show the currently published version and effective date.

Where an important change affects how we use personal information, we will provide appropriate notice.
